Job Summary
This position contributes to the success of Los Angeles Athletic Club and the Aster (“Company”) by creating positive experiences for every member and guest who visits the clubs by providing administrative support to the Complex Director of Catering to ensure proper booking, planning, coordination, and follow-up of all banquet event functions.
Responsibilities:
- Answer all incoming department calls, provide general, and specific information regarding catering and banquet events.
- Handling of event deposits and assigning it to the correct Banquet Event Order.
- Draft and type general correspondence, as well as perform general administrative duties such as responding to emails, filing, and preparing weekly reports.
- Keep Chef, Banquet Manager and Director of Hotel & Events Sales informed of party guarantees that could affect scheduling.
- Maintains and organizes banquet files, follow-up with clients on banquet contracts and guarantees.
- Assists Complex Director of Events and/or Banquet Manager with coordination of events.
- Assist with event set-up such as setting up placards, favors, or any other details on event day as needed.
- Assist with ordering, following-up, billing of cakes, flowers, and musicians as needed.
- Book appointments for prospective clients to show them event rooms, provide information such as room availability and assist in sales when possible.
- Responsible for knowledge of banquet menu items and price points.
- Prepare and distribute banquet event orders in a timely manner and keep all department heads informed of any changes and/or additions.
- Maintaining helpful and cooperative relations with members, guests, and associates.
- Responsible for seeing that computer and office equipment are in good working condition and keeping supplies available.
- Responsible for assigning account numbers for all catering events, keeping accurate billing records, processing of deposits, checking all banquet party sheets for accuracy before forwarding to accounting, processing of refunds for overpayments, and processing of check requests for outside venders.
- Preparation and processing of transfers, credits and debits, interfacing with accounting and clients as needed.
Education, licenses, & certifications:
- Ideal: Minimum of two (2) years of experience in same or similar positions in the Retail, Hospitality, or Food & Beverage industry
- Required: High School Diploma or GED Equivalent
- Ideal: Bachelor’s
- Ideal: Current California Driver License with satisfactory Department of Motor Vehicle driving record.
Essential qualifications:
- Required: At least twenty-one (21) years of age.
- Required: Reliable and punctual attendance.
- Required: Excellent time-management skills; prioritizing and completing assigned job tasks effectively.
- Required: Travel (by vehicle and plane) for business, training, and/or development, including overnight trips.
- Ideal: Bi-lingual oral, speech, and writing skills in English and Spanish or other language is an asset in this position
- Required: Excellent interpersonal and customer service skills
- Required: Computer Experience: proficient Microsoft Office programs, Outlook, and ideally Opera
- Required: Excellent verbal and written communication skills; ability to convey messages clearly and compose correspondence with correct and proper grammar.
- Required: Strong presentation skills; convey messages clearly and confidently; persuade and effect change positively.
- Required: Capable of working effectively independently with minimal supervision
- Required: Strong analytical skills.
- Required: High attention to detail and accuracy
- Required: Strong organizational skills
- Required: Ability to prioritize effectively and efficiently meet deadlines and produce work in a timely manner.

Pay: Hourly $24.00-$30.00 USD
